Send schedule for review

A vital component in the scheduling flow is the possibility to review a schedule. This new feature is all about to support that where you can send out a TE Viewer link to the form submitter in order for him, or her, to review the outcome of the schedule. The schedule link will be unique for each scoped object and there will be a link created per form submission.

  • Configurations
    In a new tab in the organization page “review settings” a TE Viewer entry needs to be set up. Also the preferred way for when, and how, the link should be available to the recipient needs to be selected. Please contact your CS representative if you need support.

  • Send email with the review link
    When the scheduling is finished, the link can be sent out to the submitter from both Preferences and from Preferences in Core. Once the scheduling status is set to “finished” the link will be available for the administrator.

     

  • Schedule link is visible to the submitter
    When the link will be available to the recipient depends on your settings mentioned above. There will be a direct TE Viewer link in the email sent out and it will also be available in the form instance.



Roll-over form and form submissions

In order to reduce the amount of time required to submit a form there is a new feature where a form submission can be rolled-over from one period to another. As a form recipient, this means that I can use my previous submitted preferences (all events and field values) as a baseline for when filling out the new form. In this way, the form submitter doesn’t have to start from scratch.

  • Roll-over form settings
    The action to roll-over a form is found in the “all forms” page.

Enter a new form name, select a new form period and a new due date. Then select how many weeks forward in time you want to copy all the events. The assumption made is that an event on Monday week 1 in 2020, should be copied to Monday week 1 in 2021 if copied 52 weeks forward in time, no matter if the dates are matching.

If there are events outside of the given form period, it will be adjusted in order to not lose any events.

  • Roll-over form message and designer changes
    For a rolled over form there is an option to enter a message to the recipients in case you want to inform about changes made in the designer etc. Everything in the designer can be updated, new elements can be added, but please be aware that if an element is deleted, the data from the previous form for that certain element will be lost.

     

  • Save form without sending
    If there are changes made in the designer or in the settings, the form can be saved without being sent out to the recipients.

  • Change scoped object
    There might be changes to the scoped objects, eg. course ID:s are updated from one semester to another, therefore it is possible to change the scoped object for a recipient. Go to the actions button in the recipient tab and select “Edit scoped object”. Select the scoped object you want to assign to the recipient. The recipient will still retain the “old rolled-over” submitted values even if those were submitted for a different scoped object.

 

  • Information to the recipient
    When the recipient opens a form which has been rolled-over there will be a message informing about the changes that’s been made together with the roll-over form message written in the settings.

 

 

Improvements

Updated email flow

The email flow for public link sharing has been updated in order for the recipient to not create any unnecessary submission and to clarify the pin code.

  • Case 1 - an non existing recipient access a public link
    The first time when a recipient access TE Preferences via a public link shared by an administrator, the recipient will go trough the following steps:

    • Enter emailadress

    • Enter first name and last name

    • Receive an auto generated pin code

    • Receive an email "Welcome to TE Preferences" (link to “view all forms” page and pin code)

    • The recipient can start to fill out the actual form

    • When submitting - a confirmation page (this is replacing the email).

 

  • Case 2 - an existing recipient access public link for the second time
    If a recipient clicks on the public link for the same form a second time (which means they already have a form submission for this form) they will have to go trough the following steps:

    • Enter emailadress

    • Enter pin code - option to get the pin code resent to email

    • The recipient will be sent to "View all form" page

    • From the “View all form” page - continue to fill out a form for an already opened submission or create a new one

 

  • Case 3 - Access public link for a new form for the first time
    In the case an existing recipient is clicking on a public link for the first time for a new form (meaning the recipient doesn’t already have a submission for this form) they will go through the following steps;

    • Enter emailadress

    • Enter pin code (option to resend the pin code)

    • Email sent to the recipient saying "View all your forms in TE Preferences" with a link to “View all forms” page

    • The recipient is sent to a new form submission and can start to fill out the form

 

Bug fixes

  • Resolved a bug where the dropdown sometimes disappeared in a datasource element
