What’s new

In this release TimeEdit is launching a new version of the Activity Manager in order to support a process where activities can be scheduled on form level instead of on submission level. This also includes mapping and converting activities on form level. The overall workflow will be described below.

In TE Preferences

  1. Create your form

  2. Gather data by sending it out to the submitters

In the Activity Manager

  1. Make the configuration and mapping of the form in the tab “ACTIVITY DESIGNER”.

  2. Await responses to be submitted - activities will automatically be generated

  3. View ALL activities for all submissions in the new tab “ACTIVITIES”

  4. Filter on different properties in the form, e.g room type, teacher, time, date, etc.

  5. Identify a batch of activities and select to schedule either manually or by assisted scheduling. Alternatively, tag the activities and schedule them later on.

  6. Repeat step 4-5.

Map activities on form level

The mapping of object types and fields will be done on form level in the Activity Manager. This is done in the “ACTIVITY DESIGNER” tab and will only have to be done one time per form. The activity designer is available for users with administrator permissions in TE Preferences.

The activity designer has three different timing modes;

  1. Exact: Used if the form contains a calendar section where the submitter can enter exact time for their activity preferences.

  2. Timeslots: Used if the form contains a calendar section with time slots. For the time slot mode, add a “lenght” parameter, such as duration of the activity.

  3. Sequence: Used if the form contains a table section where the submitter can enter a certain sequence for their activity preferences. For the sequence mode, also add a timing parameter e.g a week picker.

When the timing mode is configured, select to add objects and fields. If a certain reservation mode is selected in the form settings in TE Preferences the mapping alternatives will correspond to the reservation mode.

There is a save button added in the top right corner of the activity designer - don not forget to save.

 

View ALL activities

There is a new tab in the Activity Manager where ALL activities from all submissions for a certain form are listed. The activities will automatically be created as soon as the mapping has been completed in the activity designer.

Filter activities

In order to filter out a set of activities based on e.g a scheduling bottleneck such as a certain room type, there is a new filter feature available via the filter icon in the top right corner. The filter can be set on any property available in the form, e.g submitter, room type, time, week, teacher etc. Select the parameters you wish to filter on and press ok.

 

Tag activities

Once the filter is set and a batch of activities is identified, the activities can either be scheduled right away or “tagged” if they should be scheduled later on. By tagging an activity, the scheduler can easily know what the prioritization among the activities are. As an example, two tags can be created for “Batch 1”, “Batch 2” etc.

The tags will be managed from the “ACTIVITIES” tab. Select the certain activities and select “tag selected activities” in the top menu bar. Enter a new tag, search for a current one or use a current one in the list.

The tags can also be editable per activity in the “tag column”.

 

Schedule activities

There are several ways to schedule activities from the “ACTIVITIES” tab listed below;

  • Schedule activities: This will schedule all activities which are in the list. If a filter is set, this option will only schedule the activities filtered out. Only available for assisted scheduling.

  • Schedule activity: This option will only schedule the single activity. Only available for assisted scheduling.

  • Schedule submission: This will schedule all activities for a certain form submission, e.g all activities submitted by “Janet Jackson”. Only available for assisted scheduling.

  • Schedule selected: This option will schedule all activities which are selected with the checkboxes. Only available for assisted scheduling.

  • Send to selection list: This option will send all objects and fields to the selection list in TE Core and from there the activity can be scheduled manually. Only available for assisted scheduling.

 

View submission

To full the full submission, i.e also the information in a regular section, this can be done in two different ways.

  1. As before, double click on a submission from the “SUBMISSION” tab.

  2. From the “ACTIVITIES” tab, click on the submitter’s name to the far right in the table.
