What’s new

The focus for this release has been on a new feature where recipients can collaborate to fill out a form together. A release demo (in Swedish) for collaboration can be found here: Release demo 2021-09-06

 

How to manage collaboration

Collaboration can be managed in two ways, either by the TE Preferences administrator or by the recipients themselves. From an administrator perspective, collaborations can be managed from the from the recipients page on a form, select the “Objects” tab top right corner and then on the “Action” button.

In order to add collaboration for a primary object, click on action and select one of the following options to add recipients;

  • Add recipient: Add single recipient to collaborate on a primary object, e.g I want “Anna” and “Elin” to collaborate on “Acting 1”, add them both by clicking on Action → Collaboration → Add recipient.

  • Add recipient group: Add a recipient group for collaboration, e.g this whole group of recipients should collaborate on “Acting 1”. Click on Action → Collaborate → Add recipient group.

  • New collaboration for recipient group: If two groups should collaborate in parallell but for the same primary object, e.g group A should submit a form for “Acting 1” and group B should also submit a form for “Acting 1”, this is the option to use. There will be two parallell submissions.

 

Single user vs. collaboration

A single user means that someone should submit this form by himself or herself. There can be multiple single users for the same primary object, this then means that these single users will submit their own version of a form but for the same primary object. There will then be multiple submissions.

There can also be a combination of both collaborations and single users for one primary object. Meaning that the collaboration will submit one version of the form and the single user another one. In the end, there will be for example one submission from the collaboration and one from the single user.

 

Form owner

In a collaboration, one of the recipients will be the form owner. This means that this person have the permission to invite more recipients for collaboration as well as remove recipients from a collaboration. In the form submission of a collaboration, there will be an additional tab for “submitters” where the form owner can add or remove recipients.

The TE Preferences administrator can easily change form owner by switching the toggle option in the admin interface as long as the form is not submitted.

 

Fill out the form in collaboration

There will only be one form instance for a collaboration, i.e one version of the submission. Therefore only one person can edit at the same time. If the form is being edited by someone, the other recipients can not access the form. When the person currently editing the form has been inactive for 10 minutes, everything will auto-save and he or she will be signed out. The next person can then enter the form and start to edit. In addition, if the person currently editing the form closes the tab, the next one in line will be signed in automatically.

 

Last edited by

In order to track who has done what in a collaboration, each field value will save information regarding who the last editor was and when it was edited. This information can be found when expanding an activity vertically in a table section or in a calendar section.

 

 

If the form is distributed using a public link, collaborations will be managed by the recipients themselves. If recipient A starts to fill out a form for the primary object “Acting 1” and recipient B enters via the public link and selects the same primary object it will generate a question to collaborate.

 

Bug fixes

  • Resolved a bug where invalidated form submissions where activated agin when rolling over a form.

  • Resolved a bug where recipients couldn’t access a form from a public link with their pin code.
